BDA-Athena, is a digital collection management system that is implemented for BDA to manage its content such as corporate information or individual sectional files.
BDA-Athena is to encourage staff of BDA to store the corporate information they are in charge of, into a central repository, to prevent loss and decrease duplications of corporate information across BDA.
All staff from BDA who have valid LDAP user ID will be able to access the system.

The search for BDA-Athena searches for files as well as their metadata.
As a general user of BDA-Athena, you will have access to the search function to search for existing corporate information that is available for all general users. You may also have access to additional content if permissions are granted.

This is a quick and easy way to search our collection and is the recommended method for anyone who is unsure of what is in our collection or who wishes to search for everything pertaining a certain keyword, collection or subject.
The Advanced Search offers additional fields for making searches more precise and to obtain more meaningful results. This search method allows our collection to be searched based on the combination of title, author, subject, publisher, collection or media type.
This search method allows one to browse records based on Media Type, Event Name, Year of Event or File Creation Date, and Uploader Name or Section.
Filter Search allows you to search within the search results that were retrieved from the keyword Search, Advanced Search or Browse Search; this narrows down the search result making your searches more precise.
Save Search provides a method of your search parameter for future reference. Therefore, if you have a search keyword that you use often, you may save it and run it at a future date.
Click on the title or file name or thumbnail of a file, then click on the corresponding view or download icon within the content details view. If you have the permission, you may have access to view or download the file for your reference.
Your inability to access or view the digital resource might be due to the following reasons
Click on the BDA-ATHENA at the top of the screen will bring you to the main page of the search.
You may use the Advanced search to indicate a search term must be available on each of the fields. For example, a title with "Sarawak" and subject with "water" will search for contents with both the title containing "Sarawak" AND subject containing "water".
For different terms within a single field, you may use space to separate the terms. The search engine will rank your results based on relevance.
A file or folder will only be searchable on the main search screen if the file has been flagged to be searchable.
All file types are acceptable. This includes office documents, application installers, audio, video and images.
You can just select multiple files when you are prompted for the files to upload (using either ctrl+select, shift+select or drag and select).
Permissions are manageable by User Group Admin. If your files and folders are within your section's Group Content, please seek advice from your section head.
You may store the event information within the provided event metadata.
It depends on the permission of your user group. Certain files and folders are restricted from your user group and prevents you from deleting certain files or folder.
Metadata field is currently standardised across the board to allow a single set for common search purposes.
Yes, you can access BDA-Athena using your mobile device's web-browser. There will be a different responsive-web screen for Workspace provided for mobile browsers. However it is only limited to content browsing, metadata viewing and file downloading. If you would like to perform uploading file(s), edit metadata and and other advanced operations, you need to sign in to BDA-Athena through the desktop browser.
Folder Admin (known as SGCA previously) is a role by assignment. Once a User Group has been assigned as Folder Admin of a folder, the member(s) of this User Group can manage the permission of the sub-folder(s) and file(s) within the assigned folder. It is a role like Group Content Admin but instead of managing a whole Group Content, the Folder Admin will be managing a folder's content.
Yes. However, only GCA or Folder Admin are allowed to share a file by way of generating a Public Link. This can be done from the Workspace where the admin would click on the Public Link to specify due date of the link and the password for accessing the file. Once it is generated, you may share the link and the password (we recommend you to provide the password with a separate communication) to your target person.
Yes. Batch metadata update can be done by selecting the files that you want to update and then select the metadata template for the files to update the metadata. Please take note that any values filled for the batch metadata update will replace the existing values on the selected files.
Currently there are no maximum file upload size. For practicality, we recommend you to keep your file size to less than 50MB a file. The bigger the file size, the more network and the server resources will be used for content sharing.
